Stores within an outlet - kitchen, bar and store requests
Split an outlet's stock into stores (main store, kitchen, bar), choose which store sales and prep come out of, and move stock between stores with store requests.
Every outlet has one store by default, and you will not see anything about stores until you add a second one. Add stores when one outlet keeps its stock in several places: a hotel with a main store, a kitchen and a bar, or a big kitchen with a separate cold room.
The outlet total stays the single number that low-stock alerts, reports, valuation and costs use. The quantities in each store always add up to it.
Stores are part of Inventory & recipe costing, included in the Growth plan and above, and in the free trial.
Add a store
- Open Inventory and tap the gear (Settings), then find Stores in {outlet} (owners and managers).
- Tap Add a store, give it a name and choose a kind: Main store, Kitchen, Bar or Other.
- Save.
Adding the second store creates a Main store (the default) that holds all the stock you already have. After that, move stock to the other stores with a store request, or count it in.
Where stock lands and where it comes from
- Stock-in goes into the store you choose on the form. The default is the Main store.
- Sales, prep batches and packaging come out of one store per outlet. Set it under Sales and prep come out of in Settings. A station can have its own, for example the bar station can come out of the Bar store.
- Wastage and quick counts ask which store.
- Stock counts are per store: you must choose a store when you start a count (see Stock counts).
See stock by store
On the Inventory → Stock tab, switch the store view between All stores and one store. Each item shows a per-store breakdown.
Store requests
When a kitchen or bar needs stock from the main store, they raise a request instead of asking in person. The Store requests button on the Stock tab only appears for outlets with more than one store.
Raise a request (owners, managers and inventory clerks)
- Open Inventory → Stock → Store requests and start a new request.
- Choose which store you are asking from and which store it is for.
- Add the items and quantities, then send it.
Issue a request (managers)
- Open the request in Store requests.
- Check the quantities and issue it. Stock moves from one store to the other.
Issuing gives at most what was asked and at most what the store holds. A request that was only partly filled shows Partly issued. The outlet total does not change, and Inventory → Stock → Movements shows a paired transfer-out and transfer-in for each item.
Requests are numbered REQ-0001, REQ-0002 and so on across your business. A request can be cancelled before it is issued: clerks can cancel their own, managers can cancel any.
Archive a store
Open the store in Settings and archive it. A store can only be archived when it holds no stock, has no open requests, and no stock count is open at the outlet. The Main store cannot be archived. If you archive down to one store, the split switches off and the outlet goes back to a single store.
Voiding a stock-in in a multi-store outlet
Voiding a stock-in takes the stock from the store it was received into. If a store request has already moved some of it to another store, that store keeps its share and the receiving store goes lower (it can go below zero). Record a store request back, or count the store, to put the figures right.
Check and repair
Each store's quantities add up to the outlet's total, and the Stock tab, alerts and reports all use that total. If they ever don't, open Inventory → Settings → Stores and tap Check and repair (managers). The difference is put into the Main store and a movement titled "Store split repaired" records it. The same check also runs by itself once a day.
Troubleshooting stores
- I can't see Store requests: the outlet has only one store, or you lack permission to count stock.
- I can't issue a request: only managers (people who can manage inventory) can issue.
- Can't archive a store: move its stock out with a request, and finish or cancel its open requests and any open stock count at the outlet.
- A unit change is refused: an item that is on an open transfer or store request can't have its unit changed until that is finished or cancelled.
To move stock between outlets instead, see Transfers between outlets and central kitchen.
