Transfers between outlets and central kitchen

Send stock from one outlet to another, receive what actually arrived, request stock from a central kitchen, and see how cost and shortfalls are handled.

A transfer moves stock from one outlet to another, for example from a central kitchen to the outlets it supplies. It is for businesses with two or more outlets, and both outlets must have Inventory switched on. Inventory → Stock → Transfers only appears for such businesses.

Transfers are part of Inventory & recipe costing, included in the Growth plan and above, and in the free trial.

Send stock

Managers send stock from the outlet they are in.

  1. Open Inventory → Stock → Transfers and start a new transfer.
  2. Pick the destination outlet.
  3. Add the items and quantities. You can't send more than is on hand.
  4. Send it.

The stock leaves your outlet immediately, at your average cost, and the transfer shows as on its way. Transfers are numbered TR-0001, TR-0002 and so on across your business.

Receive stock

Anyone who can count stock at the destination outlet can receive.

  1. Open the transfer under Transfers.
  2. Enter what actually arrived. It defaults to everything that was sent.
  3. Confirm.

The destination's stock goes up by what arrived, at the sender's cost, so the destination's average cost blends it in. Anything short is recorded as wastage at the same cost with the reason Short on delivery, and the transfer shows Received with a shortfall. If the item tracks expiry dates, the dates travel with the stock (see Batches and expiry).

Cancel a transfer

The sender can cancel a transfer that is still on its way. The stock goes back to the sender and appears in Movements as a transfer-in ("stock returned"), not as a voided sale.

Ask for stock first (requests)

The outlet that needs stock can request it from another outlet before anything is sent. This is how outlets ask a central kitchen.

  1. Open Transfers and make a request: choose the outlet you are asking and the items and quantities.
  2. At the sending outlet, a manager opens the request and taps Send. They can change the quantities before sending.

A request can be cancelled by either side before it is sent.

Central kitchen

In Settings → Stores, tick This outlet is a central kitchen on the outlet that cooks for the others. What it makes with Prep → Make a batch (see Prep items and batches) is then sent to outlets with a transfer, usually against their requests.

Who sees money

Values and costs on transfers are shown only to people who can see costs. Clerks and other staff see quantities only.

Troubleshooting transfers

  • I can't see Transfers: you need two or more outlets, with Inventory on at both.
  • I can't send more: the quantity can't exceed what is on hand at your outlet.
  • A delivery came up short: enter the smaller quantity when receiving. The difference becomes Short on delivery wastage.
  • Sent by mistake: cancel it while it is still on its way.
