Reservations and table bookings
Take phone and online bookings, see them on a timeline, seat guests and handle no-shows.
The Reservations page (under Service → Reservations) holds every booking for your outlet: phone bookings your team adds, walk-ins, and bookings guests make themselves on your public booking page. Hosts, waiters, managers and owners can use it. Reservations are included in the Growth plan and above, and in the free trial.
What the Reservations page shows
At the top of Reservations you pick the day with the arrows, the Today button or the date picker. Four cards summarise that day:
- Bookings: all bookings except cancelled ones.
- Covers: total guests booked.
- Seated: bookings that are seated or completed.
- No-shows: bookings marked no-show, with the no-show rate.
Below are three tabs:
- Timeline: one row per table, with each booking drawn as a block from its start time for its length. A red line shows the current time. Bookings without a table sit in an Unassigned row. Cancelled bookings are hidden here. If the outlet is closed that day you see Closed on this day.
- List: every booking for the day in time order, with guest name, occasion, party size, table (or No table yet), notes, phone and status. Cancelled bookings still show here.
- Waitlist: walk-in parties waiting for a table (see Waitlist for walk-ins).
The page refreshes on its own, so new online bookings appear without reloading. Click any booking on the Timeline or List to open it. The Overview page also shows today's upcoming bookings under Coming up.
How to add a reservation (phone, walk-in or VIP hold)
- Go to Reservations and click New reservation.
- Fill in Guest name (required), Phone, Date, Time and Guests (party size).
- Choose a Table, or leave it on Assign later. The list only shows tables with enough seats.
- Set the Duration (45 min to 3 h). It starts at your default table time from settings.
- Add an Occasion (for example Birthday) and Notes (allergies, seating preference, high chair).
- Click Add reservation.
Bookings your team adds start as Confirmed. If you add a phone number, AirQR links the booking to that guest's profile in Guests, or creates a new profile. Each booking gets a short booking code.
To change a booking, open it, edit any field and click Save changes. If you move it to another date, the page jumps to that date.
Tables: automatic and manual assignment
- Online bookings from your booking page get a table automatically: AirQR picks the smallest free table that fits the party for that time. If no table is free, the guest can't pick that slot.
- Bookings your team adds use the table you choose, or stay Unassigned if you pick Assign later. You can open the booking later and choose a table.
- AirQR won't let two bookings overlap on one table. If you pick a table that is already taken, you see "Table … is already booked at that time." Choose another table or change the time.

Booking statuses: confirm, seat, complete, no-show, cancel
Open a booking to see its status badge and action buttons:

When you tap Seat now on a booking that has a table, that table turns occupied on the live floor plan. If the booking has no table yet, choose one first so the floor plan stays right.
If the booking has a phone number, the WhatsApp button opens WhatsApp with a ready confirmation message (party size, date and time, booking code). You press send yourself.
Marking a reservation No-show counts on the No-shows card for that day. It is separate from the takeaway no-show count on a guest's profile.
Your public booking page and its link
Every outlet has a booking page where guests book without calling. Open it with Booking page at the top of Reservations, then copy the address from your browser to share it on Instagram, Google or WhatsApp. When online booking is on, your QR menu also shows a Book a table button.
On the booking page, guests:
- Choose How many guests? (up to your Max party online; bigger groups are told to call).
- Pick a day (up to 21 days ahead) and Choose a time from the free slots.
- Enter name, mobile number, optional email, an occasion and Special requests, then tap Confirm booking.
They get a booking code, Add to calendar and Share buttons. Times in the next 30 minutes aren't offered online, and one phone number can make at most 3 online bookings a day. New online bookings arrive as Booked. Open each one and tap Confirm once you've checked it.
If you turn on Private links, your booking page moves to a new address. Share the new link again.
Reservation rules in Settings
Go to Settings, then:
- Opening hours tab: booking times are built from these hours. A day switched to Closed has no slots.
- Reservations tab:
- Pause bookings (under Online booking): see "Pausing online bookings" below.
- Slot every (min): gap between bookable times, for example 15 or 30.
- Table time (min): how long a booking holds a table. It is also the default Duration for new bookings.
- Max party online: the biggest party guests can book themselves.
Click Save changes at the top of Settings.
Pausing online bookings
Reservations are on whenever the Reservations & waitlist module is on in Settings → Modules. If you're fully booked or closed for the day, pause new online bookings instead:
- At the top of the Reservations page (or in Settings → Reservations), switch on Pause bookings. It takes effect straight away; there's nothing to save.
- The badge changes from Taking bookings to Paused. Your booking page and the AI waiter don't take new bookings, and the page says online booking is closed and shows your phone number.
- Existing bookings stay as they are, and your team can still add bookings from New reservation.
- Switch Pause bookings off to take bookings again.
Pausing doesn't turn Reservations off.
Troubleshooting reservations
- Guests say there are no slots. Check the day isn't Closed in Opening hours, that you have active tables big enough for the party, and that the time is at least 30 minutes away. Fully booked times are greyed out.
- "Online booking isn't available" or "Online booking is currently closed": bookings may be paused: switch off Pause bookings on the Reservations page. Also check the Reservations & waitlist module is on in Settings → Modules and that your plan includes reservations.
- "Sorry, that time just filled up": another booking took the last table. The guest should pick another slot.
- "You've made several bookings today": the 3-bookings-per-day limit for that phone number was reached. Add the booking yourself from New reservation.
- Reservations is missing from the menu, or shows a lock or "This module is off". The Reservations & waitlist module is off (owners turn it on in Settings → Modules), or it isn't in your plan (Growth and above, or an add-on). See I can't see a page or a menu item.
- A booking isn't on the Timeline. It may be cancelled (check the List tab) or on another date.
