Outlet settings
Set up each outlet's details, GSTIN, currency, timezone, taxes, service charge, rounding, QR ordering, UPI, opening hours and booking rules.
Avatar menu → Settings holds the settings for the outlet selected in the sidebar. Only owners and managers can open it. Each outlet has its own settings, so switch outlets from the top of the sidebar before changing another outlet.
How do I change outlet settings?
- Check the outlet name at the top of the page (for example "Saffron & Smoke · Indiranagar"). If it's the wrong outlet, switch outlets from the top of the sidebar.
- Open one of the tabs: Outlet, Taxes & billing, Ordering, Payments, Opening hours, Reservations.
- Make your changes.
- Press Save changes at the top right. The button only becomes active once something has changed. You'll see Settings saved.
Changes show on the guest menu and new bills straight away. All outlets at the top opens the outlet list. Below the tabs, More settings has cards for Takeaway, Online ordering, Order protection, Printing & screens, GST & accounting, Loyalty, Menu languages, Outlets and (owners only) Plan & billing.
Outlet tab: name, address, region and menu link
- Outlet name: shown on menus, receipts and bookings.
- Address: street and area, and City.
- Contact: Phone and Email.
- Region: country, currency, timezone, and the number format (for example en-IN, which gives ₹1,00,000 lakh grouping). When you change the country, AirQR asks "Also switch to … ?" with that country's currency, timezone and taxes. Press OK to apply them all, or Cancel to change only the country.
- Guest menu link: your menu's web address with a Copy button. Table QR codes add the table automatically.
- Private links: hides your menu, ordering and booking pages behind an unguessable address. See Private links and security.
The timezone matters: "today" on the Overview, day-end reports, GST days and token numbers all follow the outlet's local time.
Taxes & billing tab: GSTIN, taxes, service charge and rounding
- GSTIN (called Tax registration number outside India): printed on tax invoices.
- Taxes: each tax line on the bill, with a name and a rate. Restaurants in India usually charge 5% GST as CGST 2.5% + SGST 2.5%. Use Add tax to add a line (up to 5) and the X to remove one.
- Pricing mode: Menu prices include tax. Leave it off in India, so tax is added at checkout. Turn it on in VAT countries where menu prices already include tax.
- Service charge: a percentage from 0 to 30. In India, consumer protection guidelines (CCPA, July 2022) say a service charge can't be compulsory, so AirQR marks it as optional on guests' bills there. A guest can ask for it to be removed, and staff who may give discounts remove it from that one bill on the POS or the order page (see Discounts, voids, service charge and tips). This is general information, not legal advice.
- Rounding: Round bills to the nearest whole unit (for example ₹1,119.30 becomes ₹1,119). The difference shows as round off.
- Example: a live preview of a bill with items worth 1,000, showing service charge, each tax and what the guest pays.
For GST reports and Tally ledger names, see GST reports and Tally export.
Ordering tab: QR ordering and the POS
POS: how the till works for this outlet (order types, tables, guests, quick bill, walk-ins and the bar tab limit) now lives in Settings → POS settings. See POS settings.
QR ordering
- Pause QR ordering: for "not right now", for example a busy night. It takes effect straight away, without Save changes. The badge shows Taking orders or Paused. While paused, guests can still browse the menu but can't order from it: table QR ordering, QR takeaway and kiosks all pause. Switch it off to take orders again. It doesn't turn the QR ordering modules off; to stop QR ordering for good, turn the module off in Settings → Modules.
- Staff must approve QR orders: new QR orders wait under New on the kitchen display until a staff member accepts them. Useful while you're getting used to QR ordering, or if you want the waiter to check every order with the table.
- Pay at the counter / table: guests settle with staff at the end.
These QR ordering settings show only while a QR ordering module (Table QR ordering, Takeaway & counter pickup or Self-order kiosk) is on at this outlet; otherwise the tab says the module is off, with a link to Settings → Modules.
Payments tab: UPI and bank details
Guests pay you directly: the money goes straight to your bank, with no gateway and no fees.
- Enter your UPI ID (it looks like name@bank, for example yourname@okhdfcbank) and the Name shown in UPI apps. AirQR then shows a UPI QR with the exact bill amount on guest phones, on the POS and on printed bills. The money goes straight to your bank; AirQR charges no fees.
- AirQR records payments but doesn't collect them. Always check the credit in your UPI app before recording a UPI payment.
Online payment gateway: card and wallet payments through Razorpay or Stripe are marked as coming in a future release.
See Payments.
Opening hours tab
Set each day of the week:
- Use the switch to mark the day open or Closed.
- Set the opening and closing time (for example 12:00 to 23:00).
- To use the same hours every day, set Monday and press Copy to all days.
Your opening hours are shown on the guest menu. A new outlet starts with the opening hours of the outlet you were in when you created it.
Reservations tab: booking rules
- Online booking: Pause bookings stops new bookings on your booking page and through the AI waiter, straight away and without Save changes. The badge shows Taking bookings or Paused. Existing bookings stay, and staff can still add bookings. It doesn't turn Reservations off. See Reservations.
- Slot every (min): how often booking times start, from 10 to 120 minutes (for example every 30 minutes: 7:00, 7:30, 8:00).
- Table time (min): how long a booking holds a table, from 30 to 360 minutes.
- Max party online: the largest party guests can book online. Bigger groups have to call you.
These settings show only while the Reservations & waitlist module is on at this outlet (it's in the Growth plan and above, and in the free trial). See Reservations.
Troubleshooting outlet settings
- "UPI ID looks like name@bank". The UPI ID has a typo. Copy it from your UPI app exactly.
- "Unknown timezone". Pick the timezone from the list instead of typing it.
- Save changes is greyed out. Nothing has changed since the last save, or a save is in progress.
- I changed settings but the other outlet didn't change. Settings are per outlet. Switch outlets in the sidebar and change them there too.
- I can't see Settings. Only owners and managers can open it.
- A tab or setting is missing, or says "The … module is off here. Manage in Modules". Its module is off at this outlet. See I can't see a page or a menu item.
- Taxes are wrong on old bills. Changes only apply to new bills; settled bills keep the taxes they were created with.
