Export and re-import your menu (CSV)

Download one menu or all menus as a CSV that opens in Excel or Google Sheets and reads back into Import menu without changes. Re-importing updates the dishes you already have.

Export CSV downloads your menu as a spreadsheet. It has every dish with its menu, category, price, sizes, short code, veg mark, spice level, parcel price change, availability, station, scan code (barcode) and your custom fields. The same file reads back through Import menu with no changes, so it is also the easiest template to start from. Owners and managers can use it.

How do I export my menu as CSV?

  1. Open Menu & QR → Menu builder (or Import menu).
  2. Click Export CSV at the top of the page.
  3. Choose the menu you want, or All menus.

The file is named after the menu (or your business for all menus) and opens in Excel, Google Sheets or Numbers. Prices are in your outlet's currency.

What columns are in the file?

Menu, Category, Item, Description, Price, Short code, Veg/Non-veg, Spice level, Parcel price change, Available, Station, Scan code, then a Size N and Size N price pair for each size, then one column for each custom field. The Scan code column holds the product barcode. Files exported earlier, where it was called Barcode, still import the same way.

The Download CSV template button on Import menu gives the same columns with a few sample dishes.

How do I import the file again?

Open Menu & QR → Import menu, choose the file and click Read file. Match your columns recognises AirQR's own columns, so everything is already matched, including your custom fields. Click Review dishes, check the menus and stations, and import. See Import your menu.

Does re-importing update the dishes I already have?

Yes. When the file has dishes your business already has, the review shows When a dish already exists with three choices:

  • Update it (the default): prices, sizes, descriptions, veg/non-veg, spice, station, codes and custom fields come from the file. Photos, recipes, availability and outlet prices stay as they are.
  • Skip it: only new dishes are added.
  • Add as new: every row is added again, so dishes appear twice.

A row matches an existing dish by the same scan code, then the same short code, then the same name in the same menu (only when that name is used once there). Each section shows a line like "12 new · 30 will update · 2 unchanged", and after importing you see, for example, "Imported: 12 new, 30 updated, 2 unchanged". So you can export a menu, change prices in Excel and import it back into the same menu safely. See Import your menu.

Good ways to use the file:

  • Bulk-edit prices or sizes: export, edit in Excel or Google Sheets, import back with Update it.
  • Set up another business or a fresh account: export from one, import into the other.
  • Start over completely: the owner can remove the whole menu in Settings → Clear data first (see Clear data and delete an outlet), then import.

What isn't in the export?

Photos, add-on groups, allergens and badges, outlet-specific prices, recipes and food costs stay in AirQR and aren't in the menu CSV. For a full backup of everything (menu with add-ons and outlet prices, orders, guests and more), use Settings → Export all data. See Exporting your data.

Troubleshooting

The file opens in one long column or with odd charactersIn Excel use Data → From Text/CSV and choose UTF-8, or open it in Google Sheets.
Dishes appear twice after importingYou chose Add as new. Delete the extra copies, or import again with Update it.
A dish wasn't updatedIt didn't match: check the scan code, short code or exact name, or that the name isn't used twice in that menu.
