Menu schedules (Breakfast, Bar, Happy Hour)
Run several menus such as Breakfast, Bar or Happy Hour and show each only on certain days and times.
AirQR lets you run more than one menu, for example All Day, Breakfast, Bar or Happy Hour, and give each one a schedule so guests can order from it only at the right time. Scheduled menus are included in every plan. Only owners and managers can set them up.
When should I use multiple menus in AirQR?
A menu is a group of categories. Most restaurants start with one menu and add more when some dishes are only served at certain times or in certain places:
- Breakfast served 8:00–11:30 every day.
- Bar or Happy Hour from 17:00 to 19:00 on weekdays.
- Late night from 23:00 to 02:00.
- Weekend brunch on Saturday and Sunday only.
- A menu for only some outlets (Pro plan accounts with several outlets).
Guests see each published menu as a tab at the top of the QR menu. Staff manage each menu from its tab in Menu & QR → Menu builder.
To make a new menu, click + New menu next to the menu tabs. To start from an existing one, open the gear button (Menu settings) and choose Duplicate menu; the copy starts unpublished so you can edit it before guests see it.
How do I set days and times for a menu?
- Open Menu & QR → Menu builder and click the menu's tab.
- Click the gear button next to the menu name and choose Menu settings & schedule.
- Turn on Only show at certain times ("Outside these hours guests see it as 'not available now'"). It starts with every day and 08:00 to 11:30.
- Click the day buttons (Su Mo Tu We Th Fr Sa) to choose the days. Dark buttons are on.
- Set the start and end times in the "from … to …" boxes.
- Click Save. You see "Menu updated".
The menu's tab now shows a small calendar icon, and the bar under the tabs shows the schedule, for example "Mo Tu We Th Fr · 17:00–19:00" or "Daily · 08:00–11:30".
Times follow your outlet's time zone (set in the outlet settings).
Overnight menus work: if the end time is earlier than the start (for example 23:00 to 02:00), the menu runs past midnight.
To remove the schedule, turn off Only show at certain times and click Save. The menu is then available all the time.
What do guests see outside a menu's scheduled hours?
Scheduled menus are not hidden outside their hours. Guests can still browse them, but can't order from them:
- The menu's tab shows its hours with a small clock, for example "08:00–11:30".
- Inside the menu, a note says "[Menu] is served 08:00–11:30. You can browse it now, but can't order from it yet."
- The add buttons don't work for that menu until its time starts.
- When a guest opens the QR menu, AirQR opens the first menu that is being served right now.
If a guest had the page open and tries to order after the time ends, they see "[Menu] isn't being served right now."
For online orders, guests can still place a scheduled order for a later time from a menu that isn't being served right now.
Staff orders taken on the Point of sale are not blocked by menu schedules, so a manager can still ring up a breakfast item after 11:30 if needed.
How do I publish, unpublish or limit a menu to certain outlets?
In Menu settings & schedule:
- Name and Subtitle: the subtitle shows under the menu name, for example "Served 8 – 11:30 am".
- Published: turn off to hide the whole menu from guests and the POS. The tab shows an Unpublished badge. Turn it back on when ready.
- Available at (only when you have more than one outlet): tick the outlets that should show this menu. If the outlet you are working in is not ticked, the menu shows a Not at [outlet] badge.
Unpublished menus are a safe place to prepare a new season's menu: duplicate the current one, edit it, then publish it and unpublish the old one.
Troubleshooting menu schedules
| Problem | What to do |
|---|---|
| Guests say they can't order breakfast | Check the time and days in Menu settings & schedule. Outside those hours the menu is browse-only. |
| The wrong menu opens first for guests | AirQR opens the first menu being served now. Check the other menus' schedules. |
| The menu should run past midnight but stops at 00:00 | Set the start time later than the end time, for example 23:00 to 02:00, and make sure the start day is ticked. |
| The times seem off by some hours | Check the outlet's time zone in the outlet settings. See Outlet settings. |
| The menu doesn't show at all | Check Published is on and, for multi-outlet accounts, that the outlet is ticked under Available at. |
| Happy hour prices | A schedule controls when a menu can be ordered. For time-based discounts, use offers. See Offers and coupons. |
