AirQR

Payroll

Restaurant payroll software built on your own attendance

AirQR works out each person's pay from the time clock, the roster, overtime and leave you already keep. Give every staff member a monthly salary, an hourly rate or a daily wage, and at the end of the month AirQR does the sums, shows you the numbers, and prepares payslips. You check it, approve it and record who was paid. AirQR keeps the record and does not move any money.

  • Monthly, hourly and daily pay
  • Built on attendance and leave
  • Payslips as PDF

Why payroll starts with attendance

Most restaurant owners work out wages from a notebook, a spreadsheet or a message from the manager. Hours are retyped, leave is remembered, and an argument at month end is hard to settle because nobody can see what the number was based on.

AirQR starts from the record instead. Staff clock in and out on their phone or with a PIN on a shared tablet, managers publish a roster, and leave is entered in one place. Payroll reads all of that. Nobody retypes hours, and every payslip shows the attendance behind it, day by day.

The same attendance feeds the time clock and attendance screens, so the numbers a manager checks during the month are the numbers payroll uses.

Pay the way your staff are actually paid

Each person has their own pay, and it can change from a date you choose without touching what was paid before.

  • Monthly salary

A fixed salary for the month. Unpaid leave and missed shifts take a day's pay off, and the full salary is paid when nothing was missed.

  • Hourly rate

Paid for the hours worked across every outlet the person worked at, with breaks taken off.

  • Daily wage

A full day or a half day is decided by the hours worked, and you choose the cut-offs. Paid leave counts as a day.

  • Allowances and deductions

Add travel, food or house rent, and take off a uniform or a fund. Each one is a fixed amount or a percentage.

  • Overtime

Overtime is worked out day by day. Pay it at the normal rate, or at a higher rate for everyone or for one person.

  • Raises and joiners

A pay change from the 16th is paid from the 16th. Someone who joins or leaves mid-month is paid for their days.

How a payroll month works

  1. 01

    Set pay once

Open Staff pay, pick a person and choose monthly, hourly or daily. The sheet shows a preview of a full month before you save.

  2. 02

    Keep attendance as usual

Staff clock in and out, managers fix forgotten clock-outs and add leave. Nothing extra to do for payroll.

  3. 03

    Prepare the run

One button builds a payslip for everyone. Anything that needs a look is flagged, such as a clock-in that was never closed or a person with no pay set.

  4. 04

    Review and adjust

Open any payslip to see earnings, deductions and the day-by-day list. Add a bonus or take off an advance, or hold one payslip for later.

  5. 05

    Approve and pay

Once the month is over, approving locks its attendance. Pay people the way you do today, then mark them paid with the method and a reference.

Approval locks the month, and an owner stays in control

Once a run is approved, nobody can add, change or delete clock-ins or leave inside that period, so a payslip cannot quietly drift after it has been shared. Staff can still clock in and out live. If a mistake turns up, an owner reopens the run, fixes it and approves again, and the reason is kept in the audit log.

The owner decides who sees pay, who sets it and who approves. Managers see payroll by default, but setting pay and approving runs are switched on for a manager only if the owner allows it. Nobody can set their own pay, and nobody can approve a run that has their own pay on it unless they are an owner.

An approved payslip keeps the pay and the attendance it was approved with. Changing someone's rate later never changes an old payslip.

Payslips, a register and a page for your staff

  • Payslip PDF

A clean payslip for each person, with earnings, deductions, take-home pay in figures and words, and how and when it was paid. Download it or share the file from your phone.

  • All payslips in one file

A single PDF with one page per person, ready to print or send.

  • Register CSV

One row per person with every earning and deduction, for your accountant.

  • My pay for staff

Staff with a login see their own approved payslips and this month's hours. They never see anyone else's pay.

What payroll does not do yet

AirQR does not send salaries to bank accounts. It records how each person was paid. It also does not calculate provident fund, ESI, professional tax or income tax yet, so enter those as a deduction on the person's pay or as an adjustment on the run. Tips are still shared on the tips split page and are not added to a payroll run in this version.

Payroll is included in the Pro plan and in the free trial. On Starter and Growth it is an add-on, and it needs the staff roster and attendance module. See pricing for the current prices.

Questions

Does AirQR pay my staff?

No. AirQR works out the pay and keeps the record, including who was paid, how and when. You pay staff by cash, UPI or bank transfer as you do today.

Can I pay some staff monthly, some hourly and some by the day?

Yes. Each person has their own pay type, and it can change from a date you choose.

Does it work for a business with several outlets?

Yes. A person who works at two outlets is paid for the hours at both, and each clock-in counts on the business day of the outlet where it happened.

What happens if I find a mistake after approving?

An owner can reopen the run if nobody has been marked paid yet, fix the attendance and approve again. After payment, put the correction in the next run as an adjustment.

Can staff see their payslips?

Yes. Staff with a login see their own approved payslips in My pay. You can switch this off in the payroll settings.

Does it calculate PF, ESI or tax?

Not yet. You can enter them as a deduction on a person's pay or as an adjustment on the run.

Is payroll included in my plan?

Payroll is included in Pro and in the free trial. Starter and Growth can add it as a monthly add-on.
