Devices: who is signed in where
See every phone, tablet, billing counter, kitchen screen, printer and barcode scanner your business uses, name each device, see who is signed in on it, sign a browser out remotely, and clear out old ones.
Settings → Devices shows every screen, phone, tablet, printer and scanner your business uses, and who is signed in on each. An owner sees all outlets. A manager sees only the outlets they manage.
How is the page organised?
At the top, one tile per kind of device shows how many there are and how many are online. Press a tile to jump to its section. Each section is a card:
- Phones & tablets: owner, manager and waiter devices.
- Billing counters (POS): screens at the counter where bills are made, and time clocks.
- Kitchen & bar screens.
- Self-order kiosks: paired, waiting to be paired, paused or closed by its schedule, with N of M kiosk tablets and Add kiosk in the section header. Add a kiosk, see its pairing code and link, then use ⋯ → Pause / Resume, New pairing code, Rename or Remove. A paused kiosk shows a Paused badge and isn't counted online. See Self-order kiosk.
- Order-ready TVs: the shared link for each outlet.
- Printers: each printer on its own line. See below.
- Barcode scanners: scanners used with a device. See below.
- Computers: office and back-office computers.
Empty sections are hidden, except Printers and Scanners when those features are on. Add printer is in the Printers section and Add scanner is in the Scanners section. There are no add buttons anywhere else.
Each device shows a friendly name (for example Owner's phone, Manager's tablet or Billing counter), who is signed in and their role, whether it is Online now or when it was Last seen, then the device and browser (for example iPhone · Safari) and the page it is using. Open Details for when it was first seen, the full browser text, the last page and, if it has them, its POS code, scanner and the printers it prints to. A browser that is also a POS terminal or drives printers stays one row. Your own browser carries a This device badge.
By default the page shows Active devices: online, or seen in the last 7 days. Everything else is under Older devices, with Forget old devices next to it. If you manage more than one outlet, filter by outlet. The status filter has Active, Online now and All devices.
How do I name a device and say what it is for?
Press ⋯ → Edit device, or Name this device on an unnamed device. Give it a name such as Front counter tablet and choose What is this device?: Billing counter (POS), Kitchen screen, Bar screen, Waiter's phone or tablet, Manager's device, Owner's device, Office computer, Printing computer or Staff time clock. What you choose decides which section the device sits in. Kiosks, POS devices and print helpers can be renamed too.
What happens when someone signs in on a new device?
After a few seconds on a device nobody has named, a small card in the corner asks What is this device?. Pick a purpose, check the suggested name and press Save. It does not block anything: press Not now and it stays away for 30 days. Once saved, it does not ask again on that device.
How do printers show up?
The Printers section lists every printer, not just the computers that drive them. Each line says how it connects (USB cable, Wi-Fi / network, Bluetooth, installed on a computer, print window), what it prints (bills, kitchen tickets and which stations) and Connected through the device that sends its jobs, with a status: Ready when that device is online, Waiting for … to come online, Paused, or Not connected to any device yet. If a printer is not connected, open the print screen on the computer it is plugged into. A printer has no signal of its own, so its status is the status of that device.
AirQR Printer Helper programs show as their own lines (the computer's name, its system, the version and how many printers it found). Add printer opens the same wizard as Settings → Printing & screens; it adds to the outlet you are working in.
How do barcode scanners show up?
A USB or Bluetooth scanner works like a keyboard, so the computer cannot see it directly. A scanner appears in Barcode scanners in two ways: after its first real scan on a signed-in device, or when you press Add scanner, test it, and save it on the Barcode scanner page. A scanner line shows its name, how it connects (USB cable, Bluetooth, Wireless receiver), which device it is on and when it last scanned. Use ⋯ → Edit scanner to rename it or Remove to take it off the list. See Barcode scanner.
How do I sign someone out of a device?
Use this when a tablet is lost, a staff member leaves, or someone forgot to sign out on a shared screen.
- Open Settings → Devices and find the device.
- Press the ⋯ menu, then Sign out this device, and confirm.
The person's login on that browser ends on the server at once, and the browser is sent to the sign-in page the next time it loads a page. If it was also a POS terminal, its POS registration is removed too. The person's other devices stay signed in. You can't sign out the device you are using here; use Sign out in the menu. Managers don't see, and can't sign out, an owner's device. When you deactivate a team member in Staff, all their logins end on the server (if they work at another business too, they sign in again there).
How do I remove a device?
- POS device: ⋯ → Remove. It can't register again or reserve new offline numbers. Sales it has not sent yet still sync, and opening the POS on it again adds it as a new device.
- Kiosk: ⋯ → Remove. The tablet shows the pairing screen at once.
- Printer Helper or print screen: ⋯ → Remove. Its printers become unassigned.
What does "Forget old devices" do?
It signs out browsers not used for 30 days (and removes their POS registration) and deletes Chrome-tab print stations not seen for 30 days that have no printers. Anything in use stays. See Printing overview.
The order-ready TV link
Every TV uses the same link, so TVs cannot be told apart here. Press New link to make a new one: every TV on the old link stops working until you open the new link on it. See Order-ready screen.
Good to know
- A device appears the first time someone signs in on it; devices already signed in show up on their next visit.
- A printer shows the status of the device it is connected through.
- Scanners show up after their first scan, or when you add them on the Barcode scanner page.
