Running multiple outlets
Add outlets, switch between them, share menus with different prices, limit staff to their outlets, and close an outlet.
One AirQR brand account can run several outlets (branches). Menus, brand and design are shared; each outlet keeps its own tables, QR codes, orders, settings, currency, timezone, taxes, hours and UPI ID. Running more than one outlet needs the Pro plan (3 outlets included, extra outlets paid) or the free trial (up to 3 outlets).
Which plans allow more than one outlet?
| Plan | Outlets |
|---|---|
| Free trial | Up to 3 |
| Starter | 1 |
| Growth | 1 |
| Pro | 3 included; each extra outlet is ₹999 a month |
| Custom | As agreed (for 10+ outlets, franchises and chains) |
If you try to add an outlet beyond your plan, AirQR tells you the limit and asks you to upgrade in Plan & billing. Going over a limit never switches off outlets you already have; it only stops you adding more. The number of tables per outlet also follows your plan (Starter allows up to 15). To add extra Pro outlets or discuss a Custom plan, the owner requests it in Avatar menu → Plan & billing. See Plans, trial and billing.
How do I add a new outlet?
Owners and managers can add outlets.
- Click the outlet box at the top of the sidebar and choose Add outlet, or go to Avatar menu → Settings → Outlets (the All outlets button on the Settings page also goes there).
- Press Add outlet.
- Enter the Outlet name (for example "Koramangala"), City, Country and the number of Tables (0 to 80).
- Press Create outlet.
The new outlet is ready at once and AirQR switches you to it. Your menus, brand and design carry over and every existing menu is shared with it. Each table gets a QR code, plus a main-menu QR for the outlet. The outlet gets the currency, timezone and taxes of its country, and copies the opening hours of the outlet you were in.
Next, open Settings for the new outlet and fill in its address, GSTIN, UPI ID and other details. See Outlet settings. Then print its QR codes and set up its printers.
How do I switch between outlets?
- Click the outlet box at the top of the sidebar and pick the outlet under Outlets, or
- Go to Settings → Outlets and press Switch to on an outlet's card.
Every page then works on that outlet: orders, kitchen display, tables, cash drawer, settings, QR codes and reports. The sidebar box always shows which outlet you're in, so check it before changing settings.
The Outlets page shows a card for each outlet with its tables, orders and sales in the last 30 days, and badges: Current, Closed, and Private link if private links are on. Menu opens that outlet's guest menu.
Can prices and availability differ between outlets?
Yes. Menus are shared, but each dish can have outlet overrides:
- In Menu & QR → Menu builder, open a dish and use Outlet overrides to set a different price or availability at a specific outlet. This applies to dishes without sizes.
- Marking a dish sold out can apply to this outlet only or to every outlet (for example Sold out at this outlet or Sold out everywhere).
Each menu can also be limited to some outlets. See Menu builder basics and Sold out and availability.
How do I limit staff to certain outlets?
When you add or edit a team member in Admin → Staff, the Outlets option appears once you have 2 or more outlets:
- All outlets (including future ones): the person can work at every outlet, including ones you add later.
- Untick it and tick specific outlets: the person only sees those outlets in the switcher and can't open data from the others.
Keep managers limited to the outlets they run. Staff limited to some outlets can't give themselves or anyone else access to other outlets, and can't change team members outside their outlets. Outlet-level staff access is part of the Pro plan. See Staff, logins and roles.
How do I see reports for all outlets together?
In Growth → Analytics, switch between This outlet and All outlets to compare outlets or see the brand total, and choose the period (Today, 7 days, 30 days or 90 days). Consolidated multi-outlet reports are part of the Pro plan.
Other pages work on one outlet at a time: the Overview, orders, kitchen display, cash drawer and the GST files all follow the outlet selected in the sidebar, so switch outlet to see each one. The Outlets page gives a quick side-by-side view of tables, orders and sales for the last 30 days. The Export orders file and the full data download include every outlet you can access, with an outlet column. See Analytics and Exporting your data.
How do I close or reopen an outlet?
Only the owner can close an outlet.
- Go to Settings → Outlets.
- Press Close outlet on the outlet's card. To bring it back, press Reopen.
A closed outlet's menu, ordering and booking pages stop working and its QR codes stop opening the menu. Its data is kept. You must always keep at least one active outlet ("You need at least one active outlet").
To remove an outlet for good, with its orders, tables, QR codes and stock, the owner can delete it in Settings → Clear data (download an export first). See Clear data and delete an outlet.
Troubleshooting multiple outlets
- "Only owners and managers can add outlets." Ask the owner or a manager.
- I can't find Add outlet or I'm told I've reached the limit. Your plan includes one outlet. Upgrade to Pro, or ask for extra outlets. See Plans, trial and billing.
- A staff member can't see an outlet. Edit their access in Admin → Staff and tick that outlet.
- I changed a setting at the wrong outlet. Settings are per outlet. Switch outlet and change it back.
- A second brand, not a branch? Contact AirQR and we set it up on your login. It's a separate account with its own menu and plan, and you switch to it with Switch brand in the sidebar switcher.
