Sold out, hidden items and outlet availability

Mark dishes sold out ("86") at one outlet or everywhere, hide items without deleting them, and set different prices or availability per outlet.

When a dish runs out, you "86" it: you mark it sold out so guests and staff can't order it. AirQR gives you three separate controls in the Menu builder: sold out at this outlet, sold out everywhere, and hidden from the menu. On multi-outlet accounts you can also set a different price per outlet. Only owners and managers can change these.

How do I mark a dish sold out (86) at my outlet?

This is the quick, everyday switch.

  1. Open Menu & QR → Menu builder.
  2. Find the dish (use Search items if the menu is long).
  3. Turn off the switch on the right of the item row. Its tooltip reads In stock at this outlet when on and Sold out at this outlet when off.

You see "[Dish] marked sold out here". The change is instant:

  • On the guest QR menu and online ordering page, the dish stays visible but shows a Sold out label and can't be added to the cart.
  • On the Point of sale, the dish is greyed out with an 86 badge. Tapping it shows "[Dish] is sold out".
  • It is left out of "Goes well with" suggestions.

To bring it back, turn the switch on again. You see "[Dish] is back on".

This switch only affects the outlet you are currently working in (shown at the top of the dashboard). Other outlets keep selling the dish.

Tip: use the Sold out filter at the top of the menu builder to see everything that is switched off. The number next to it shows how many. At closing time, switch back on dishes that were 86'd only for today.

How do I mark a dish sold out at every outlet?

Use this when a dish is off everywhere, for example a seasonal item.

  • In the item row, open … (Item actions) and choose Sold out everywhere. You see "Sold out at every outlet". To undo, choose Available everywhere.
  • Or open the item and turn off In stock everywhere ("Turn off to mark sold out at all outlets"), then click Save changes.

A dish can be ordered at an outlet only when both are on: In stock everywhere, and the outlet's own switch. So if you turn In stock everywhere back on and the dish is still sold out at one outlet, check that outlet's switch in the item row (or under Outlet overrides in the item window).

How do I hide an item from the menu without deleting it?

Hiding is different from sold out. A hidden item disappears completely from the guest menu and from the point of sale, instead of showing "Sold out". Use it for dishes you are testing, off-season dishes or items you may bring back later.

  1. Open the item in the menu builder.
  2. Turn off Visible on menu ("Hide without deleting").
  3. Click Save changes.

In the menu builder, the item looks faded and has a Hidden badge. Use the Hidden filter to list all hidden items. Turn Visible on menu back on to show it again.

You can hide a whole section too: open the category's … menu → Rename / edit and turn off Visible on menu. The category shows a Hidden badge. To hide a whole menu, open Menu settings & schedule and turn off Published.

How do I set a different price or availability per outlet?

If your account has more than one outlet, each item has an Outlet overrides section ("Different price or availability at specific outlets"). It only appears when you have two or more outlets.

  1. Open the item in the menu builder.
  2. Scroll to Outlet overrides. Each outlet has a price box and an Available switch.
  3. To charge a different price at an outlet, type the price in that outlet's box. Leave it empty to use the normal price (shown faintly as a hint).
  4. To stop selling the dish at one outlet, turn off its Available switch.
  5. Click Save changes.

Important limits:

  • Price overrides work only for items without sizes. For items with sizes, the price boxes are greyed out.
  • The item row in the menu builder shows the price for the outlet you are working in.
  • Whole menus can also be limited to some outlets with Available at in Menu settings & schedule. See Menu schedules.

Troubleshooting sold out and availability
