Print settings and what's on your receipts

Every option in Settings → Printing & screens: paper width, receipt header and footer, what each printer prints, auto-print, UPI QR on bills, test pages, previews and recent prints.

Settings → Printing & screens is where owners and managers control what prints, where, and how your bills look. It has the Printers list, Print stations, Recent prints, a Setup guide, the Receipt layout card and the Order-ready screen link. Printing is included from the Starter plan up.

How do I add my FSSAI number or a message to the bill?

Use the Receipt layout card in Settings → Printing & screens:

  • Receipt header: printed under your name and address on bills, up to 300 characters. Typical uses: "FSSAI Lic. 11223344556677", opening hours, or a second phone number.
  • Receipt footer: printed at the bottom of every bill, up to 300 characters, for example "Thank you — see you again soon!" or your Instagram handle. If you leave it empty, bills end with "Thank you! Visit again."

A live Preview on the right shows the header and footer on a sample bill. Press Save layout to keep your changes (the button is only active after you change something). You'll see "Print settings saved".

Your GSTIN isn't typed here: set it once in Settings → Taxes & billing and it prints on every tax invoice automatically. The outlet name, address and phone come from Settings → Outlet.

What does the Paper width setting in Receipt layout do?

The Paper width on the Receipt layout card (58 mm, "Compact, 2″ rolls", or 80 mm, "Standard, 3″ rolls") sets the width of bills and tickets printed through the browser: the bill you open by hand with Open printable bill, the kitchen display's print-dialog fallback, and the thermal version of cash reports.

Each printer you add also has its own Paper width, which controls what that printer receives. Set both to match your paper roll. A 58 mm roll fits 32 characters per line, an 80 mm roll 48.

Print tickets from the kitchen display (opens a print window) is a simple fallback for outlets without a kitchen printer set up: the kitchen display prints each new ticket once through the browser's print dialog (silent if Chrome is started with --kiosk-printing). As soon as you add a KOT printer, this switch turns off and shows "Not needed — your KOT printers above print every ticket automatically."

What can I set for each printer?

Press Add printer, or a printer's … menu → Edit. The options are:

Each outlet can have up to 20 printers. Delete (in the … menu) removes the printer and its print history. For connection details see Set up a LAN / Wi-Fi printer and Set up a USB or Bluetooth printer.

What is printed on a bill, and when does the UPI QR appear?

A bill printed on a thermal printer shows, from top to bottom:

  1. Your brand name, outlet name, address, "Tel" phone, and GSTIN (outside India, "Tax ID").
  2. Your Receipt header.
  3. The title: TAX INVOICE once the check is settled (just INVOICE if no GSTIN is set), BILL while it's still open, or CANCELLED. Reprints add (DUPLICATE).
  4. Bill number, table (or Takeaway / Delivery / Dine-in), date and time, guest name and phone (for takeaway and delivery), covers, and a big TOKEN number for takeaway.
  5. Items with quantity, rate and amount (on 80 mm paper in four columns), with sizes and add-ons.
  6. Offers, discounts (with reason), loyalty points, service charge, packaging and delivery charges.
  7. Each tax line (e.g. "CGST @ 2.5%"), Round off, Tip and the TOTAL.
  8. Payments received (e.g. "Paid CASH", "Paid UPI"), Change, and BALANCE DUE if something is still owed.
  9. UPI QR: if money is still due and your outlet has a UPI ID, the bill prints "Scan to pay Rs.(amount)" with a QR code for the exact amount due (bill number and table in the payment note), "Scan with any UPI app" and your UPI ID. Set the UPI ID in Settings → Payments. Turn it off with Print UPI QR on bills under Receipt layout (it's on by default when you have a UPI ID). It works for bills in rupees, prints at a size that scans on 58 and 80 mm paper, and never appears on a settled invoice. Some UPI apps limit amount-filled QR codes to about ₹2,000 per payment; see Payments. Refunds recorded on the bill print as "Refunded (method)" lines under the payments.
  10. Your Receipt footer, and "Powered by AirQR" (on every plan).

There's no separate bill design to choose; the layout adapts to 58 or 80 mm paper. Item names in Hindi or other scripts print using the item's English name. See Payments for taking UPI.

How do I test a printer and preview what it prints?

  • Test (next to each printer): sends a test page showing the printer name, outlet, connection, paper width with a character ruler, text styles and a QR code. If the printer has Open the cash drawer on, the drawer opens too. You'll see "Test page queued for (name)" and where it will print.
  • … menu → Preview test page, Preview latest KOT (KOT printers) or Preview latest bill (bill printers): shows on screen exactly what this printer would receive, using your most recent ticket or bill. Handy for checking stations and paper width before service. If you haven't placed an order yet, it asks you to send an order to the kitchen or place an order first.

What is the Recent prints list?

Recent prints shows the last 40 prints from the past 3 days: time, what was printed (e.g. "KOT #3044", "Bill #3044", "Test page", "Cash report"; reprints marked "· reprint"), the printer and which station printed it, and the status (Waiting, Printing, Retrying (n/3), Printed, Failed, Missed). Failed jobs show the error in red.

  • The eye icon (Preview) shows the print as the printer received it.
  • Print sends a failed or missed job again; Again prints another copy of a printed one.
  • Refresh updates the list.

Prints that wait more than 30 minutes are never printed automatically (so an overnight backlog doesn't flood the kitchen); they show as Missed. See How printing works and Printer troubleshooting.
