Takeaway tokens and pickup

Set up QR takeaway with daily tokens, pay-first or pay-on-collection, packaging charges and parcels, and run pickups from the Takeaway & delivery board.

Takeaway lets guests order from your QR menu for pickup and collect with a short daily token (Token 1, 2, 3…). Staff run every pickup from the Takeaway & delivery board. QR takeaway is included in every plan, starting with Starter. Owners and managers set it up in Settings → Takeaway.

How takeaway tokens work

Every takeaway, pickup and delivery order gets a token for the day. Tokens restart at 1 with the outlet's first order each day. Staff call orders and hand them over by token, not by name.

The token appears on the guest's order page (Your token), on the kitchen ticket (marked TAKEAWAY or PARCEL), on the Takeaway & delivery board, on printed tickets and on the order-ready screen. Orders without a token (for example dine-in) use the order number instead.

Setting up takeaway (Settings → Takeaway)

Open Settings → Takeaway, or from the board use Settings → Takeaway settings.

Takeaway is on whenever the Takeaway & counter pickup module is on (turn it on or off in Settings → Modules). A guest who scans your counter QR or opens your menu link without a table then orders takeaway. The settings are:

  • Usual wait (minutes). Shown as "Takeaway · ready in ~15 min".
  • Where to collect, for example "Pickup counter next to the bar". Shown on the menu, the order page and the WhatsApp message.
  • Payment: Pay first on or off (next section).
  • Packaging charge per order.
  • Parcels at the table: Let table guests ask to pack a round.

Press Save changes. Use Preview menu to see what guests see.

QR takeaway stops while QR ordering is paused. The page then says "QR ordering is paused at this outlet, so guests can only browse the menu." with a Resume it in Settings link, and the Takeaway & delivery board shows a note with a Resume it in Settings button. See Outlet settings.

Pay first vs pay on collection

Pay first (on): the order waits on the board, marked Waiting for payment and Pay first · at the counter. The kitchen display shows "Waiting for payment at the counter" and should not cook it. Guests see "Pay at the counter (or by UPI) — we start cooking once it's confirmed." When the guest pays, press Confirm payment & send to kitchen, choose Cash, UPI or Card, and the order goes to the kitchen. For UPI, check the money has arrived in your UPI app first.

Pay first (off, pay on collection): the order goes straight to the kitchen. Guests see "Pay at the counter when you collect." You take the money at hand-over.

Cancel unpaid orders after (under Payment, default 15 minutes, from 5 minutes to 2 hours): a takeaway order waiting for payment (pay first, or held by order protection) that isn't paid in this time is cancelled on its own. The guest's page says "We didn't receive payment in time, so this order was cancelled. Nothing was charged." with Order again, and the board lists it under Cancelled as Cancelled automatically · Reason: Not paid in time. Orders with a payment, an "I've paid" from the guest, or that you sent to the kitchen are never cancelled this way. Kiosk takeaway orders held for the counter follow the same time; kiosk "eat here" orders are never cancelled.

Most cafés and quick-service outlets use pay first. For a regular you trust, Regular? Send without payment — collect on pickup sends a pay-first order to the kitchen anyway; that's a manager's call.

Packaging charge, parcel prices and parcels at a table

The Packaging charge per order is added once per takeaway order: QR takeaway, POS takeaway and delivery, and parcels packed at the table. Guests see a "Packaging" line on the bill. Parcel prices for dishes come from Parcel pricing. A single item packed on the POS also adds the packaging charge, once per order. Don't add it by hand. Online orders use their own packaging charge in Online ordering settings.

With Let table guests ask to pack a round on, dine-in guests see Pack this round to take away in their cart. That round's kitchen ticket shows a PARCEL badge and the packaging charge is added once to the bill. Waiters can do the same on the POS with Pack this round as a parcel.

Parcel prices per dish: besides the one packaging charge per order, a dish can cost a little more (or less) when it's packed. Set a Parcel price change on the dish in the menu builder. It applies to takeaway, delivery, online orders and parcel rounds, and guests see the parcel price in their cart. See Parcel pricing.

The takeaway counter QR

Put a QR at the counter or front window so walk-in guests can scan, order and get a token. On QR codes, press New QR and choose Takeaway counter ("Scan to order takeaway · token"), give it a name, press Create, then Print standee for a "Scan to order takeaway" standee. You can also reach this from the board's Settings → Takeaway counter QR. When ordering takeaway, guests must give their name and phone ("Who's collecting?") so you can call them.

Guests without a phone: ring it up on the Point of sale as Takeaway.

Running takeaway orders on the Takeaway & delivery board

  1. New order. Guest orders arrive with a sound and a QR, POS or Online badge. Pay-first orders wait under New until you press Confirm payment & send to kitchen. If your outlet approves QR orders first, they also wait under New with Accept & send to kitchen. Otherwise they go straight to Preparing.
  2. Preparing. The kitchen cooks it. If you don't use the kitchen display, press Mark ready (with a kitchen display, Mark ready (skip KDS)).
  3. Ready to collect. The guest's page changes to Ready to collect and the token moves to Ready on the TV screen. Tap WhatsApp: "Token 15 is ready" to message a guest who isn't at the counter.
  4. Guest is here. When the guest taps I'm here to collect on their phone, the card shows Guest is here · (time) and a two-note chime plays.
  5. Handed over. Match the token on the guest's phone, hand over the food, then press Handed over. If money is still due, the button says "take (amount)" and asks how it was paid (Cash, UPI or Card).

Use the filters All, QR takeaway, Online and Counter (POS) to narrow the board. Finished orders move to Done today.

Cancellations and no-shows for takeaway

Guests can cancel on their phone only while the order is still waiting for payment or approval. Once it's with the kitchen, they must call you. To cancel from the board, tap the X and pick a reason (An item is sold out, We're too busy right now, We're closing soon, Guest didn't turn up to pay).

If a ready, unpaid order is never collected, tap Not collected (no-show) and pick a reason. It comes off the order-ready screen, stock isn't put back, and the guest gets a no-show on their profile. Paid orders can't be marked no-show: keep them aside and call the guest. Cancelling and no-shows need a manager or cashier. See Order protection.

Troubleshooting takeaway

"We're not taking takeaway orders from the menu right now…"Check the Takeaway & counter pickup module is on in Settings → Modules, and that QR ordering isn't paused (Pause QR ordering in Settings → Ordering).
Pay-first order not on the kitchen displayIt's waiting for Confirm payment & send to kitchen.
A pay-first order vanished from the boardNobody paid within Cancel unpaid orders after (Settings → Takeaway), so it was cancelled. It's under Cancelled on the board. Give more time by raising the setting.
Packaging charged twiceIt can't be: it's added once per order. Check whether staff also added a packaging dish by hand, or whether a dish's Parcel price change already covers the box.
No WhatsApp buttonThe guest didn't give a phone number, or the order isn't ready yet.
"You already have 2 orders waiting"The guest hit the open-order limit. Ask them to collect or pay for earlier orders, or ring it up on the POS.
