How guests order from the table QR

What guests see when they scan a table QR, how their orders reach the kitchen, and the settings that control QR ordering.

Guests scan the QR code on their table, browse your menu on their phone and send orders straight to the kitchen. No app or sign-up is needed. This article explains the guest's side step by step, so staff can help guests and answer their questions. QR ordering is included in every plan, starting with Starter.

How a guest scans and browses the QR menu

  1. The guest scans the table's QR code with the phone camera. The menu opens with Table (name) shown at the top, so every order is linked to that table.
  2. They can search the menu, filter (for example Veg), and switch Language if you have added translations.
  3. Tapping a dish opens its details: photo, description, calories, allergens ("Contains: …") and the price.
  4. If the dish has sizes or add-ons, the guest picks them (Choose a size, Required, Optional). Sold-out options show "(sold out)".
  5. Cooking instructions lets the guest add a note such as "less spicy, no onions". It prints on the kitchen ticket.
  6. Add to order puts the dish in the cart.

Dishes that are sold out show Sold out and cannot be added. If a menu is only served at certain times (for example breakfast), guests can browse it outside those times but can't order from it.

Guests can only order for a table by scanning that table's own QR code. Someone who opens the menu link without a table can only browse, or order takeaway if you have turned it on (see Takeaway tokens and pickup).

How a guest places a QR order

  1. The guest taps Checkout (or View order) to open Your order.
  2. They can change quantities, apply a coupon under Have a coupon code?, and use loyalty points with Use my points (if loyalty is on and they entered their phone).
  3. The order note box ("Anything we should know? Allergies, occasion…") is for the whole order.
  4. Phone (optional) lets guests earn points and get receipts and offers. There is also a tick box to receive offers and updates from you.
  5. If parcels at the table are allowed, a Pack this round to take away switch appears (see Takeaway tokens and pickup).
  6. The bill summary shows item total, discounts, service charge, taxes, round off and To pay. In India the service charge is marked optional; a guest who doesn't want it can ask the staff to remove it.
  7. The guest taps Place order · (amount).

All prices, offers and taxes are checked again by AirQR when the order is placed, so a guest cannot change a price on their phone.

Rounds: ordering more at the same table

Each table has one open check. Every time guests order again, it is added to the same check as a new Round (Round 1, Round 2 and so on). Each round goes to the kitchen as its own ticket, so the kitchen sees exactly what is new.

Waiters can also add rounds from the Point of sale on the same check. QR rounds and POS rounds all land on one bill. On the guest's order page, Order more takes them back to the menu to add another round.

The guest's order tracking page

After placing an order the guest lands on their order page. It shows:

  • Each Round with its status: Sent, Preparing, Ready or Served. If a round is cancelled, it says "This round was cancelled by the restaurant."
  • Waiting for confirmation if your outlet approves QR orders first.
  • Your bill with every line, discounts, service charge (marked optional in India, and gone once staff remove it), taxes, tip, total and what's already Paid.
  • Buttons to Call a waiter and Ask for bill (see Call waiter, bill and water requests).
  • Order more to add another round.
  • After the meal, a short feedback form (How was everything?). Happy guests may be invited to post a Google review (see Feedback and Google reviews).

The page updates by itself. Staff can open the same page from the order in Orders with Guest tracking page.

How guests pay after a QR order

Guests settle the bill in one of two ways:

  • Pay at the counter or to the waiter. This is always possible. Staff record the payment in AirQR (see Recording payments).
  • Pay by UPI from their phone. If you have added a UPI ID under Settings → Payments, the order page shows a UPI QR for the exact amount due and a Pay with UPI app button. If you only uploaded your shop's own UPI QR, the guest scans it and types the amount themselves. The guest then taps I've paid · Verify payment; staff verify it in the Payment center and the guest's page shows "Payment received ✓".

AirQR does not collect money itself. A UPI payment only counts once you see the money arrive in your own UPI or bank app. Never accept a screenshot as proof. Then record it on the check.

Settings that control QR ordering

QR ordering works whenever the Table QR ordering module is on in Settings → Modules. For a menu guests can only browse, either switch on Pause QR ordering (below) or turn the module off; if you turn it off, also turn off Takeaway & counter pickup, or guests without a table can still order takeaway. The day-to-day settings are in Settings → Ordering, section QR ordering:

  • Pause QR ordering. For a busy spell: guests can still browse the menu but can't order from it until you switch it off. It works straight away, without saving, and also pauses QR takeaway and kiosks. It doesn't turn QR ordering off.
  • Staff must approve QR orders. Orders wait for a confirmation before the kitchen sees them.
  • Pay at the counter / table. Guests settle with staff at the end.

UPI details are under Settings → Payments (UPI ID and Name shown in UPI apps).

Approving QR orders before they reach the kitchen

When Staff must approve QR orders is on, each new QR round waits on the Kitchen display under New with a dashed outline. A waiter, cashier or manager checks the order with the table and taps Accept (it goes to the kitchen) or Reject (it is cancelled). Kitchen staff see "Waiting for front-of-house to confirm" and cannot accept it themselves. In Orders, the round shows Awaiting approval, and the guest sees Waiting for confirmation.

Approval is done on the Kitchen display, which is the Kitchen display module (Growth plan and above, and the free trial). If that module is off or not in your plan, keep this setting off, or new rounds have nowhere to be accepted.

Troubleshooting QR ordering

Order didn't reach the kitchenCheck whether approval is on. The round may be waiting under New on the Kitchen display for someone to tap Accept.
A dish can't be addedIt is marked sold out, or its menu isn't served at this time.
No UPI option on the guest's pageAdd your UPI ID in Settings → Payments.
