Go-live checklist for a new outlet
Everything to set up and test before real guests scan, order and pay at a new outlet.
An outlet is ready to go live when a real guest can scan, order, get their food and pay, and staff can close the day. Work through this list with the owner for every new outlet. Each part links to a detailed help article.
Account and plan
- The owner has signed up and finished the setup wizard. Every account starts with a 28-day free trial of all features. See Getting started.
- Agree which plan you'll use (Starter, Growth or Pro). The owner requests it in Avatar menu → Plan & billing; after payment, the AirQR team switches the plan on. See Plans, trial and billing.
- Check the plan covers what you need. For example the kitchen display, reservations and inventory are in Growth and above; more than one outlet needs Pro. On Starter you choose 4 modules.
- Turn on the modules you'll use, and only those, in Settings → Modules (see Modules). Your team only sees their screens.
Outlet settings
Open Avatar menu → Settings with the right outlet selected in the sidebar, then fill in:
- [ ] Outlet tab: outlet name, address, phone, email, and region (country, currency, timezone).
- [ ] Taxes & billing tab: GSTIN, taxes (usually CGST 2.5% + SGST 2.5% for restaurants in India), service charge, rounding.
- [ ] Payments tab: UPI ID and the payee name shown in UPI apps. Ordering tab: whether QR orders need staff approval.
- [ ] Opening hours and Reservations tabs.
- [ ] Settings → Printing (the Printing & screens card): Receipt header (for example your FSSAI licence number) and footer.
- [ ] Takeaway, Online ordering and Order protection, if you'll take takeaway or online orders.

Menu
- [ ] Import the menu from a file (CSV, Excel, PDF or Word) or photos with Menu & QR → Import menu, or build it in Menu & QR → Menu builder.
- [ ] Check every price, size (variant), add-on, veg/non-veg mark and station (kitchen, bar, tandoor…). The station decides which kitchen printer and screen gets each dish. Move a whole category with Send all dishes to station….
- [ ] If staff bill at a counter or bar, add short codes (Create missing short codes in the menu's gear menu) and any Parcel price change for packed dishes.
- [ ] Style the menu in Menu & QR → Design & brand: logo, cover photo, colours, theme.
- [ ] Add translations in Menu & QR → Translations if guests need other languages.

Tables and QR codes
- [ ] Draw the floor plan in Tables → Edit floor plan, with every table named the way staff call it.
- [ ] Print table QR cards from Menu & QR → QR codes, plus a takeaway counter QR and an online-ordering QR if you use them.

Team and devices
- [ ] Add every staff member from Admin → Staff (Add staff) with the smallest role that covers their job (owner, manager, cashier, waiter, host, kitchen). Floor staff need only a name, mobile and PIN; give a login by email to owners, managers and anyone who should sign in themselves.
- [ ] Set up the kitchen display on the kitchen device, and set up the printers in Settings → Printing. Print a test page on each printer.
- [ ] Turn on the modules the owner wants in Settings → Modules (for example Takeaway & counter pickup, Online ordering (pickup), Delivery, Self-order kiosk), and check Pause QR ordering is off.

Test, then go live
- [ ] Place a test QR order from a table card, a takeaway order and a POS order. Check each one reaches the kitchen display and prints on the right printer.
- [ ] Settle one test bill by cash and one by UPI, then cancel the test orders. To wipe all practice orders before opening day, the owner can use Settings → Clear data → Orders and sales history (see Clear data and delete an outlet).
- [ ] Train each role on its own screens (the daily routine is in Daily opening and closing).
- [ ] Put the QR cards on the tables. Add the online-ordering link to your Google Business Profile, Instagram and WhatsApp.
- [ ] Add your Google review link under Growth → Feedback, so happy guests are invited to review you.
Troubleshooting before go-live
- A test order didn't reach the kitchen. If Staff must approve QR orders is on, the order waits under New on the kitchen display until someone accepts it. Pay-first takeaway orders wait until payment is confirmed.
- Nothing printed. Check the print station tab is open or the print bridge shows online, then look at Settings → Printing → Recent prints. See Printer troubleshooting.
- The KOT printed at the wrong printer. Check the printer's stations and each dish's station in the menu.
- No UPI QR on the bill. Add the UPI ID in Settings → Payments.
